Data Subject Rights Process

1. Your rights

Subject to applicable law, you may ask us to confirm whether we process your personal data, provide a copy of your personal data, correct inaccurate or incomplete data, delete your personal data, restrict how we use your data, provide certain data in a portable format, stop certain processing based on our legitimate interests, stop direct marketing, review certain automated processing safeguards where applicable, and withdraw consent at any time where we rely on consent.

2. How to make a request

You can make a privacy request by emailing rm@rnsoftwaresolutions.com, using [WEB PRIVACY REQUEST FORM URL], or using the in-app privacy or delete account flow.

Please tell us your name and account email, what right you want to exercise, and enough detail for us to locate the relevant records.

3. Identity checks

We may need to verify your identity before acting on a request. We will only ask for information reasonably necessary to confirm that the requester is the correct person or is authorised to act for them.

4. Timing

We aim to respond without undue delay and normally within one month of receiving a valid request. If the request is complex or you make multiple requests, we may extend the deadline by up to a further two months, in which case we will explain why.

5. Fees

We do not usually charge a fee. However, we may charge a reasonable fee or refuse to act where a request is manifestly unfounded, excessive, or repetitive, as permitted by law.

6. Access requests

If you ask for access, we will provide a copy of relevant personal data and supplementary information required by law, including categories, purposes, recipients, retention information, rights, and complaint routes where applicable.

7. Deletion requests

If you ask us to delete your data, we will delete personal data we no longer need unless we must keep it for legal obligations, tax or accounting record keeping, establishing, exercising or defending legal claims, fraud prevention, abuse handling, or account security, or maintaining records necessary to honour your request, such as suppression logs.

Where complete erasure from backups is not immediately possible, we will isolate the data from routine use and delete it through normal backup expiry cycles.

8. Rectification

If data is inaccurate or incomplete, we will correct it or explain why we believe it is accurate.

9. Portability

Where applicable, we will provide the personal data you gave us, and that we process by automated means on the basis of consent or contract, in a structured, commonly used and machine-readable format where technically feasible.

10. Objection and restriction

You may object to processing based on legitimate interests. We will stop unless we have compelling legitimate grounds or another lawful reason to continue.

You may also request restriction of processing in certain cases, for example while accuracy is contested or a deletion request is being assessed.

11. Consent withdrawal

Where processing relies on consent, you can withdraw it at any time through app settings or by contacting us. Withdrawal does not affect processing already carried out before withdrawal.

You also have the right to complain to the UK Information Commissioner’s Office (ICO) or, where relevant, another competent supervisory authority.
